Work with SigmaCart POS

Run your counter from opening the cash drawer to completing a sale and reconciling the shift. This guide walks cashiers and administrators through the controls in SigmaCart Point of Sale.

Sign in and choose a store

Open your store’s POS page and sign in using an administrator account or an account assigned POS store access. Enter your Email and Password, then select Sign in to POS.

Select the correct location in the Store menu at the top.
Check the connection indicator. Checkout requires an online connection.
Allow browser storage so POS can retain drafts and requests awaiting confirmation.
Open your register shift before taking payment.

Your store controls your workProducts, receipts, registers and management tools are scoped to the selected store. The store selector is disabled while your cart contains products, while an action is busy, or while checkout needs confirmation. Hold or clear an ordinary cart before switching stores.

If you see “No active stores are assigned to this account,” ask your administrator to check your account’s store access.

Understand the workspace

Cashier tools

Sell builds a sale. Receipts opens completed POS sales. Low stock shows active products with 5 units or fewer. Register & shift opens, selects and closes your shifts.

Administrator tools

Administrators can adjust stock and record returns, and see Purchasing, Reports & alerts and Insights. These controls depend on your account access.

On the Sell screen, the catalog shows product names, identifiers, prices and stock. Current sale shows quantities, totals and payment controls. On smaller screens, the catalog and cart stack vertically.

Open a register shift

Open Register & shift
In Open / resume register, enter the counter’s Register name, such as Counter 1. Existing register names appear as suggestions.
Count the opening drawer
Enter Opening cash in the store’s currency. Use the actual float in the drawer, then select Open / resume shift.
Confirm the selected shift
The POS returns to Sell and displays your open shift number. If you already have an open shift, use the Registers list and select Use shift next to one belonging to your account. The active one is marked Selected.

Build a sale

Find the product
In Sell, search for a product or browse with Previous and Next. For an exact barcode or SKU lookup, focus Search products or scan barcode + Enter, scan or type the identifier, then press Enter or select Scan.
Add and review items
Click a product card to add one unit. Scanning adds the product when there is exactly one matching result. Use + and − in Current sale to change quantity; reducing a line to zero removes it. Each line is limited to 100 units, and stock availability is checked during the sale.
Wait for the updated total
Review Subtotal, Tax added and Total. POS requests updated totals when the cart changes. A dash or loading dots means the current total is not ready. Enter payment details after finishing cart edits.

Stock labelsA managed product displays its stock balance. Out-of-stock product cards cannot be added from Sell. Unmanaged means the product has no managed stock balance. Online and counter sales share inventory, so refresh the catalog when needed.

Take payment

Cash

Choose Cash under Payment method. Enter Cash received equal to or greater than the total, review Change due, then select Complete cash sale. Wait for the confirmed receipt and give the customer their change.

Customer wallet

Choose Customer wallet. Enter the customer’s SigmaCart email and ask them to authorize the purchase with their account password. Select Complete wallet sale and wait for confirmation. Do not save the customer’s password.

Example cash saleIf Total is 45.50 and Cash received is 50.00, Change due is 4.50. Use the store’s displayed currency and confirmed total.

A completed sale opens a receipt, clears the cart and payment fields, and refreshes relevant POS data. If the button is disabled, check your shift, connection, calculated total and payment fields.

If confirmation is interruptedA connection failure can leave a checkout awaiting confirmation. Use Retry / recover checkout after reconnecting. Do not collect payment twice or create another sale for the same purchase. Wallet recovery requires the customer’s password again.

Hold and resume carts

Select Hold cart to set the current products aside and free the cart for another customer. Expand Held carts to see the saved time and number of product lines.

Resume moves the held products back into an empty cart. It is unavailable when the current cart contains products or checkout is pending.
Discard removes a held cart.
Clear cart removes the current draft products.

Review fresh totals and re-enter payment details after resuming. Drafts and held carts are saved in this browser for the signed-in user and selected store; they are not a transfer mechanism between devices.

Print and reopen receipts

After checkout, choose Print / save PDF to open the browser print dialog. Select your printer or the available PDF destination. The receipt layout is designed for an 80 mm width.

To reopen a completed sale, select Receipts, use Previous or Next to find it, then select View receipt. Review the receipt number, time, cashier and total before reprinting.

The receipt includes store details, register, cashier, customer, product lines, tax breakdown and payment method. Cash receipts also show cash received and change. Select Close receipt to return to POS.

Record a return Administrator

Open the original receipt
From Receipts, select View receipt, then Return items / cash refund or Return items / wallet refund. The return action appears for administrators when the receipt contains the required item references.
Select returned quantities
Enter a whole-number quantity for each item received back. The dialog shows the remaining quantity available to return after earlier returns. Check Restock received goods only for items that can be sold again.
Enter a reason and confirm
Enter a Return reason of 3–400 characters, review the refund preview and submit. The current dialog requires an open shift. Wait for the confirmation notice showing the return number, refund method and amount.

Wallet return labelsThe dialog heading identifies wallet refunds for wallet receipts, but its preview and submit button currently still say “Cash refund” and “Record cash refund.” Check the original receipt’s payment method and the final confirmation notice to identify the recorded refund method.

If interrupted, use Retry / recover return. After closing or reopening POS, administrators can select Recover interrupted return in Receipts to restore the pending request. Confirm it before issuing the refund again.

Review and adjust stock

Select Low stock to review active products with 5 units or fewer. Use search, pagination and Refresh to inspect the list. Cashiers can view it; administrators can click a product card to open Adjust stock.

Review the product and current balance.
Enter Quantity change (+ received / − removed) as a whole number. Enter +10 to add ten units or -2 to remove two; this is a change, not a replacement balance.
Add a Reason / supplier reference of 3–500 characters.
Select Save adjustment and wait for the stock update confirmation.

Shared inventoryAdjustments update the balance used by both online and counter sales. Avoid recording a purchase delivery as both an adjustment and received goods, which would count it twice.

For an interrupted adjustment, select Recover interrupted adjustment in Low stock and then Retry / recover adjustment.

Purchase and receive goods Administrator

Add a supplier

Open Purchasing. Under Add supplier, enter Name, optional Email and Phone, and Lead time (days) between 0 and 365. Select Save supplier. Saved suppliers appear in the list and supplier selector.

Create a purchase draft

Choose supplier and reference
In Draft purchase, select a supplier and optionally enter a reference.
Add stock-managed products
Use Find stock-managed product to search by name, SKU or barcode. Select each product, enter Units and Unit cost, and review Draft total. Use Remove to delete a line.
Save the draft
Select Save purchase draft. It appears in the purchase list with its supplier, products and status. Saving a draft does not send a supplier message; arrange the order separately.
Receive the delivery
When all listed units have physically arrived, select Receive goods, review the quantities, then select All goods received. Confirmation increases shared stock once. This dialog confirms the full listed delivery; it has no partial-quantity input.

If a supplier, draft or receiving action needs confirmation, use Retry / recover operation at the top of the management tools, or Retry / recover receiving in the receive dialog.

Read reports and insights Administrator

Reports & alerts

This view summarizes the last 30 days of POS sales and refunds. Review Completed sales, Gross sales, Refunds, Net sales, Net cash and Net wallet.

Register reconciliation & refunds

Compare each listed shift’s expected drawer amount, counted cash and variance. The refunds list shows return number, order number, amount and reason.

Inventory activity & notifications

Review POS sales, returns, adjustments and receiving movements, plus store notifications. Activity lists contain the most recent records. Online and legacy edits share stock but do not appear in this POS activity ledger.

Insights

Read the displayed calculation basis, then compare each product’s Stock, Sold / 30 days, Days cover, Draft PO units and Suggested units. “No demand history” means days cover is unavailable for that item.

Select Explain with configured AI for an explanation using your configured provider. This sends product names, stock and sales aggregates to that provider. The explanation cannot change inventory or place orders. Review suggestions before creating a purchase draft. Use Refresh to load current data.

Close and reconcile your shift

Finish pending checkout
Resolve any sale awaiting confirmation before closing. The close action is disabled during a pending checkout.
Count the drawer
Open Register & shift. In Close shift, review the opening float and cash sales, enter the actual Counted drawer cash, and add a Closing note if needed.
Close and review the result
Select Close and reconcile. Review the notice showing Expected, Counted and Variance. An administrator can also review the result in Reports & alerts. Use Sign out when finished.

Recover interrupted work

POS retains requests awaiting confirmation in browser storage. The recovery controls retry the saved original request instead of creating a new one. Keep the same browser, account and store when recovering.

Interrupted action	Where to recover
Sale	Sell → Retry / recover checkout. Wallet sales require password authorization again.
Return	Receipts → Recover interrupted return → Retry / recover return.
Stock adjustment	Low stock → Recover interrupted adjustment → Retry / recover adjustment.
Supplier, purchase draft or delivery	Management tools → Retry / recover operation; receiving dialog → Retry / recover receiving.

Preserve the recovery informationDo not clear browser storage while an operation is unresolved. If POS reports that browser storage is unavailable, keep the page open until pending work is resolved. Reconnect before retrying a checkout; offline checkout is unavailable.

If another tab changed the cart, review the updated draft before checkout. If another tab is confirming a sale, wait for it to finish. Working in one POS tab per counter makes it easier to follow the current cart and confirmation state.

Solve common issues

Payment button is disabled

Check that you are online, have an open shift and a nonempty cart, and have a current total. Cash received must cover Total; wallet checkout needs customer email and password.

Barcode does not add a product

An exact scan must return one match. Check the identifier or select the correct product from search results when POS reports no exact barcode/SKU match.

Stock or total changed

Refresh products and review the cart. Shared inventory can change through other sales. Follow the server’s message, correct quantities and re-enter payment details when needed.

Management options are missing

Returns, adjustments, Purchasing, Reports & alerts and Insights require administrator access in this interface. Ask your administrator to check your access.

POS asks you to sign in again

Sign in and select the original store. Review any restored cart or pending request before continuing. Do not repeat payment collection for an unconfirmed sale.

AI explanation fails

Read the error and ask your administrator to check the configured AI provider. Use the inventory insights table to review stock and demand while the provider is unavailable.
